Important Visa Information

If you are a national of certain countries, you may be asked to obtain a VISA to enter Japan.

You may also get information from your local travel agent, and your local Japanese Embassy or Consulate-General Office of Japan.

Link to the visa application form will appear in your My Page if your registration is completed with payment, or those who are registered with an Invitee Code.

You are required to submit the following documents/information for application and pay the document fee.

1. Copy of your passport
2. A letter in English (PDF) from your organization guaranteeing that you work/study in the field related to the IFFS2025 Congress.*
   *Note: Invited Chairs and Speakers may upload a memo stating the session you are invited to.
3. Name of Japanese Embassy you plan to file your Visa Application
4. Personal Information
5. Arrival/Departure Flight Information (tentative plan is accepted)*
6. Accommodation Information (Hotel name, address, phone number, Check-in/out dates – tentative plan is accepted.)*
   *Notes: The Organizing Committee will only guarantee your stay during the IFFS2025 plus one day before, and one day after the Congress (i.e. April 25 – 30, 2025).
7. Accompanying person’s information*
   Note: Accompanying person is limited to your spouse or your children.
   a. Copy of passport(s)
   b. Their personal information
   c. Relationship with you.
8. Payment of Document fee: 15,000 JPY*
   *Note: Document fee is waived for some invited chairs and speakers. Fee waiver will show when you proceed to payment.

Cancellation Policy

Cancellation of your application must be sent in writing by e-mail to reg-iffs2025@c-linkage.co.jp, and will be subject to the following conditions:

(i) Before issuing the documents*: 80% of the document fee will be refunded
 Note: This also includes if the organizing committee denies your request.

(ii) After issuing the documents: No refund applies
 All refunds will be processed within two (2) months after the end of the IFFS2025. Bank charges will be deducted.

Important Note

• All costs associated with visa application documents will be borne by the participants.
• If the required information is missing, document processing will take time. Your prompt action is highly recommended.
• Once you receive the documents from the organizer, you must submit these documents along with other documents specified by the Japanese Embassy or Consulate General of Japan. You are responsible for making the necessary arrangements for these documents, and the organizer or secretariat office does not take any responsibility for the success/failure of the application.
• Please also note that the organizer/secretariat will not cover the cost of the VISA application.
